Thank you for your interest in attending the LSB Annual Conference on, “Reshaping Legal Services”, which is taking place on 7 March 2024 (the “Annual Conference”).

The information below provides you with details as to the personal data we will collect from delegates while filming the panelist speakers at the Annual Conference.

What information we collect

The LSB will record the Panelist discussions, including all question-and-answer sessions.  The recording will be carried out using Microsoft Teams:

Delegates attending in person: If you decide to raise a question or comment during a panelist presentation or question and answer session, your audio content (voice) and any other personal data volunteered by you (such as your name and occupation) will be captured in our Annual Conference footage.  Visual footage of your image will not be captured as our camera(s) will remain focused on panelists.

Delegates attending online: Your camera and microphone will be disabled so we will not capture your video or audio content. We will record and may also read out your question(s) to the panelist(s).  We will not read out your name/occupation unless you expressly request that we do so.

Purpose and Lawful bases

The purpose of recording and publishing the Annual Conference will be to enable delegates and members of the public to access and find out more about the work of the LSB and organisations represented by the panelists.

In consideration of the above, we have determined that the lawful basis for processing your personal data as a delegate at the Annual Conference is that it is necessary for the purposes of legitimate interest in:

• As a delegate: publicising your contributions to discussions held during the Annual Conference concerning issues and queries you may wish to raise; and should you wish to disclose your identity when raising a question, your interest in publicising your active and professional participation in the Annual Conference.
• The LSB: in hosting and publishing accessible media content to raise awareness about their work and the issues and queries raised by delegates during the Annual Conference.

Who will have access to the Annual Conference footage?

The Annual Conference will be filmed by the LSB and will be uploaded and published on one or more LSB online platforms, which will include the LSB Microsite, the LSB and/or LSCP websites and/or social media platforms (“Media Platform”). Additional written commentary regarding the content of the Annual Conference will also be published to one or more of the above Media Platforms.

Transfer of your personal data outside the UK

Personal information which you supply to us may be transferred outside the UK. Transfers of data from the UK to the EEA are currently permitted by the UK Government without the need to take any further steps.

Depending on the Media Platform that we use to upload and publish the Annual Conference footage, we may transfer your personal information to certain third-party service providers in countries outside of the UK and the EEA. These countries (including the United States) may not have the same data protection laws and may offer a lower level of protection.

If we do need to transfer your personal information in this way, we carry out due diligence prior to transferring your personal data to ensure the recipients of your data have in place an adequacy decision or an appropriate safeguard that is compliant with the UK General Data Protection Regulation.

Where will the footage be stored and for how long?

The LSB will store the Annual Conference footage within the LSB’s electronic database and later upload it, as set out above, to one or more Media Platform. The footage will be retained in accordance with the LSB data retention and disposal policy, which is found with the LSB Privacy Notice (linked below).

Other ways to raise a question during the Annual Conference

If you are attending the Annual Conference in person and you would prefer not to raise a question in a manner where your personal data will be processed, you may submit your question in writing to one of our members of staff who will be on hand to read out your question(s) to our panelists.
